Most people in Morbi booking their first organised holiday ask the same question: what exactly am I buying? “Group tour” covers everything from a coach full of strangers to a curated small group, and the difference matters. Here is how a fixed-departure tour from a Morbi tourism agency actually works, start to finish.
What “fixed departure” means
A fixed departure is a trip that runs on published dates with a set itinerary, whether you book it or not. The agency has already committed to the hotels, the vehicle and the trip leader. You are buying a seat on something that is already happening.
That is why the price is lower than a private trip: the fixed costs — the vehicle, the leader, the hotel block — are shared across everyone on board. It is also why the dates are not negotiable. If you need to leave on the 14th and the departures are the 11th and the 18th, a fixed departure is not your product.
Who else is on the trip
On our Himachal departures the group is usually 15 to 30 people, largely families from Gujarat, with a mix of ages from young children to grandparents. It is not a backpacker crowd. Food is pure vegetarian by default because that is what most of our travellers prefer, and Jain meals are arranged on request if you tell us in advance.
You are sharing a vehicle and mealtimes with the group. You are not sharing a room with strangers — rooms are allotted on double or family sharing within your own booking.
What the trip leader does
This is the part that justifies the whole model. A trip leader travels with the group from the boarding point and handles:
- Hotel check-ins, so you are not standing at a reception desk arguing about a booking
- The daily plan, and changing it when weather or road conditions force a change
- Coordinating the vehicle, the driver and the timings
- Being the person who deals with a problem at 11 PM
On the Himachal routes the leader joins from Gandhinagar or Chandigarh depending on your fare option. Their call is final on anything involving group safety — if the road to Rohtang is closed, it is closed.
What a fare typically covers
Using our 8-day Shimla – Manali – Kullu – Kasol departure as a concrete example, the fare covers train tickets both ways, all transfers by non-AC tempo traveller, five nights of hotel, five breakfasts and five dinners, all sightseeing in the itinerary, tolls, parking, transport taxes and driver allowance, plus river rafting and a bonfire evening.
It does not cover monument entry fees, guide charges, adventure activities, pony rides, snow suits, heater charges, personal expenses, meals during the train journey, or travel insurance. Those are listed as exclusions on the package page, and they are listed because people ask.
Why hill sightseeing runs on non-AC vehicles
This surprises people every season. Air conditioning is not effective on hill roads — the engine is working hard on gradients and the cabin does not cool. Every operator on those routes uses non-AC vehicles. It is not a cost cut, and at Himachal altitudes in winter you will not want AC anyway.
Snow points are conditional, always
The snow excursion above Manali — Solang, Sissu, Kokhsar or Rohtang — depends on permissions and weather on the day. One of them will be open; which one is not knowable in advance. Where the group vehicle cannot continue, a local 4×4 is available at your own cost. Any agency that guarantees you Rohtang in advance is guessing.
Booking timeline
- 60 days out — deposit, so train berths can be booked the day IRCTC opens the window
- Before departure — balance, after which the hotel voucher is released
- A week before — joining instructions, boarding point and time, packing list
Seasonal dates carry a supplement. On the 8-day Himachal departure, 7 to 14 November and 16 December to 15 January carry ₹2,000 per person extra. Those dates are marked on the departure calendar rather than sprung on you at payment.
When a private trip is the better answer
Choose a private custom itinerary instead if you need specific dates, are travelling with someone who cannot manage a group pace, want a different hotel category, or are a large enough family to fill your own vehicle. The per-person cost is higher, but you control everything.
